Position Description:


Reporting to the Director of Financial Aid, the Financial Aid Counselor is responsible for analyzing and awarding federal, state, institutional, and private financial aid, assuring compliance with federal, state, and program requirements. The Financial Aid Counselor also covers administrative functions of the office, student and family counseling, and monitoring of the use of federal, state, and institutional funds.


Essential Job Functions

  • Advise and counsel prospective and current students about the financial aid process.
  • Assist students and families with completing the FAFSA and other aid-related requirements.
  • Package and award student aid in accordance with federal, state, and institutional guidelines.
  • Perform verification of Department of Education selected files.
  • Coordinate and send notification regarding the status of applications and missing documents.
  • Certify and disburse private loans for students who request and are approved.
  • Consult with various offices (Admissions, Registration, Student Accounts, Student Life) and external agencies to resolve related eligibility, processing, certification, and payment issues.
  • Responsible for maintaining federal Transfer Monitoring process.
  • Receive and review documents for accuracy and completeness.
  • Correspond with delinquent student loan borrowers to assist them in avoiding default.
  • Serve as liaison with state, federal, tribal, and other agencies; keeping abreast of student assistance opportunities and program regulations.
  • Implements, coordinate, and oversees one or more specific administrative programs and/or service areas as assigned.
  • Participate in outreach events to inform potential students about the financial aid process.
  • Answer the financial aid office phone line and general email account.
  • Adhere to all standards required for compliance and regulatory boards, and maintain access credentials to federal web portals.
  • Assist with other daily operations or financial aid programs and miscellaneous job-related duties as assigned.
  • Contribute to the diversity of the college by bringing a perspective, way of thinking, and/or a unique set of experiences that expand the intellectual conversation and practices in the field.

Additional Job Functions

  • Provide support for institutional reporting needs and help develop database queries.
  • Assist other offices with maintenance of student accounts.
  • Work with the Senior Financial Aid Counselor and Director of Financial Aid to schedule financial aid processes and process improvements.
  • Attend training opportunities on a regular basis to develop and maintain knowledge of financial aid process and regulations.
  • Other duties as assigned.

  • Must be able to multitask, prioritize, and manage a significant work load.
  • Must have strong organizational skills and be able to work independently.
  • Ability to interpret and explain regulatory information related to the financial aid process.
  • Current and thorough knowledge of federal aid regulations and guidance.
  • Strong communication skills, time management skills, and attention to detail.
  • Bachelor’s degree or equivalent experience.
  • Proficiency in Microsoft Office Suite,
  • Proficiency with web-based processing.
  • Must be able to use financial aid and database management software.
  • Experience with presenting information to both small and large groups.
  • Full-time availability, punctual, strong work ethic.


  • While we would prefer candidates with at least one year of experience working in a financial aid office, we are willing to look at applicable work experience for the right candidate.
  • Working knowledge of PowerCampus and PowerFAIDS software.
