Position Description:

The purpose of the Assistant Director of Communication, Outreach and Enrollment Support position is to ensure efficient and effective delivery of financial aid to all eligible students. The position is responsible for the daily operations, training and supervision of the campus staff involved in the awarding and delivery of financial aid. The delivery includes but is not limited to the development, maintenance and assessment of all financial aid computerized systems while providing financial assistance and excellent customer service to all students. The AD of Communication, Outreach and Enrollment Support ensures excellent quality service to students and staff, consistency of information to all staff, training and outreach efforts to the community. The Assistant Director monitors staff work and handles any student staff complaints from the campus. Also handles and monitors phone coverage, email inquiries and delegates work to staff accordingly.

The Assistant Director reports to the Director of Financial Aid and supervises, plans, schedules and assigns/monitors work to Financial Aid Counselors and student employees. Assists in managing the general operations of the Office of Financial Aid. Processes financial aid, counseling of students, and all administrative support for special programs, online programs, and all other graduate programs. Works as a liaison between the Enrollment Services Staff and the Office of Financial Aid. This position is responsible for coordinating and maintaining the outreach needs of the Financial Aid Office, ensuring coverage is provided at all recruitment events, FAFSA workshops, High school nights and scheduling and other outreach events as needed by both departments, SOU community and others. Maintain a strong knowledge and understanding and advise students and families on all aspects of the Federal, State and institutional financial aid application processes; satisfactory academic progress necessary to maintain eligibility to receive financial aid, and financial considerations of enrollment and retention. 

Minimum Qualifications:

• Bachelor’s degree in a related field

• Five years of experience in Financial Aid processing, three years in a supervisory or lead (leading projects, processes and staff) capacity required. 

Preferred Qualification:

The Assistant Director should have broad experience in federal and state student aid regulations, financial aid policy, needs analysis, financial aid packaging methodology, and human relations.

Knowledge, Skills, and Abilities:

• Demonstrated in-depth knowledge of federal, state and institutional financial aid programs, to ensure compliance with policies, legislations and regulations.

• Models inclusive excellence through specific actions that support the College’s diversity goals in recruitment, hiring and retention of talented and diverse staff.

• Ability to work with a diverse student/staff population engage in conflict resolution, coordination of interdepartmental projects, deal with outside agencies and auditors.

• Knowledge of operational processes and procedures, work and task flow for area

• Knowledge of federal, state and institutional financial aid processing systems

• Ability to contribute to policy and procedure development

• Ability to develop effective system testing scenarios

• Demonstrated ability to retrieve and synthesize data from multiple sources to develop solutions to known problems.

• General understanding of SOU structure, policies and practices, and the impact on student financial aid.

• Proven expertise in executing operational plans, managing projects and /or programs, budgeting, cost control and delivery of results

• In- depth managerial and team building skills, and demonstrated ability to motivate and empower direct and indirect reports to achieve area priorities.

• Ability to collaborate with others departments across SOU and externally exchange information, collaborate on projects, share resources, etc.

• Advanced level technical skills for functional areas required.

• Ability to initiate and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside SOU with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.

• Excellent communication skills; ability to effectively communicate information in a clear and understandable manner verbally and in writing.

• Ability to work with a high level of productivity and accuracy/attention to detail.

• Excellent organizational and time management skills.

• Ability to initiate, establish, and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the University with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.

• Ability to adapt to and work effectively in a heavily bureaucratic environment which requires regular interaction with a number of levels within the organization.

• Working knowledge, or ability to quickly learn, university infrastructure, policies, and procedures.

Special Conditions

•Must be willing to travel and attend training programs off-site for occasional professional development.

•Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
